The opportunity
This is 12-month contract opportunity to work in a hybrid work environment. Candidates must be located within the GTA and be able to work from the Toronto office upon request (occasional).
The Project Manager will facilitate assigned projects, set and communicate, and evaluate/refine results. Under the direction of the PMO, this role may support multiple projects across different departments or functions at Heart & Stroke. In this dynamic position you will be responsible for planning, executing, monitoring, and closing projects, which often require considerable resources and elevated levels of functional integration. This role is pivotal in helping support transformational change across different departments or functions with a series of IT and non-IT related projects.
Working with stakeholders to document business requirements and processes, as well as helping them through process re-engineering where appropriate will be a key skill set required for this role. The role requires an extensive understanding of project management's best practices, methodologies, and processes. This role requires someone who is articulate and motivated, who can quickly identify vulnerabilities and obstacles, then create innovative solutions to these challenges.
Will often work with senior and executive management and present project progress at regular intervals.
How you will make an impact every day
Project deliverables and task management
Responsible for the overall coordination of project deliverables and managing the project to completion
Ensure all project deliverables conform to PMO project management, standards and procedures
Assign, manage, and track tasks and activities specific to the project
Project Planning
Develop and manage a project plan and schedule including the work breakdown structure and all dependencies
Lead the RFP process and assist with vendor selection process (where applicable)
Complete requirements gathering with clear requirements documentation which may include working with stakeholders to map out processes and re-design them where appropriate
Manage all phases of the project lifecycle (initiation, planning, execution, control and closing)
Working with IT, manage data migration, complete quality assurance and systems testing for data integrity and coordinate resolution of issues
Manage the system development lifecycle with external vendors (i.e. contract review/signoff, system/ technical design, prototypes review and development, QA and user acceptance Planning (UAP), Testing (UAT) and deployment to production)
Monitor and Control
Manage and monitor vendor and stakeholder expectations to ensure open and consistent communication channels, and timely completion of deliverables
Working with the Director, Strategy Implementation and Integrated Planning to setup and manage project steering committees
Manage risks, opportunities, issues and decisions – assess and take corrective action to mitigate or resolve as needed
Communicating and Reporting
Clearly communicate project deadlines and monitor core project team’s progress through deliverables and milestones
Closely work with vendor implementation team (where applicable) to ensure open and consistent communications, and timely completion of vendor deliverables
Communicate regularly with PMO leadership, key sponsors and other stakeholders, identifying upcoming issues, concerns, changes and resources requirements
Facilitate development of a change management process for larger enterprise-wide projects or projects that incur organizational changes
Ensure all lessons learned and documentation are clearly captured and accessible within the PMO
Who we need
Education
Bachelor’s degree in Healthcare, Information Technology, Business, or related field or equivalent work experience.
PMP Certification considered an asset (preference will be given to those with certification)
Experience
Minimum 3-5 years of project management experience, with a focus on IT initiatives and business process improvement
Experience managing medium to large scale projects, with a high degree of complexity, from both a business and technology focus
Proven project success in working on large projects, involving multiple departments, on time and within budget
Experience working with a national organization with multiple sites is an asset.
Experience with CRM Salesforce migration in the fundraising space considered an asset.
Skills
Strong project planning and project management skills, process mapping, negotiation skills, problem solving, stakeholder management, and analytical skills
Advanced MS Office, SharePoint knowledge.
Knowledge of Smartsheet is considered an asset
Solid understanding of system configurations and data flow
Excellent verbal/written communication and presentation skills to effectively communicate with stakeholders across the organization, including senior and executive management
Tenacity to coordinate resolution of reported issues
Excellent attention to detail
Demonstrated ability to work in a fast-paced environment
Ability to create or enhance support documents and quick reference guides on assigned topics
Bilingualism (English/French) is considered an asset
