The opportunity
Please note Heart & Stroke offers a hybrid work option. Candidates must be able to travel when requested. This role operates in a virtual work environment and requires adaptability to support occasional travel, events outside standard business hours.
The Development Coordinator is responsible for coordinating and enabling development, volunteer, and Provincial Advisory Board (PAB) activities by consolidating operational, reporting, and execution work that currently sits across multiple roles. The role leads national volunteer engagement priorities and supports fundraising through reporting, stewardship coordination, event logistics, CRM tracking, and donor-facing materials, helping strengthen consistency across teams and enabling senior leaders and fundraisers to spend more time on donor-facing and relationship-building work.
How you will make an impact every day
Provincial Advisory Board (PAB) Coordination & Enablement
Coordinate PAB alignment activities and provide operational support for quarterly provincial PAB meetings (content support, not strategy ownership).
Develop workback plans for PAB materials; coordinate inputs, editing, translation, and distribution of meeting packages.
Support agenda development (themes/content alignment) and manage meeting logistics in partnership with Executive Assistants as needed.
Track follow-ups and action items; maintain meeting cadence and ensure timely completion of deliverables.
Collect, consolidate, and report quarterly PAB key success metrics; support consistent reporting and visibility.
Support cross-PAB learning by capturing key takeaways from decks/presentations and sharing relevant learnings across regions.
Community Fundraising Reporting & Enablement
Maintain accurate CRM, fundraising platform, and revenue records while generating and reconciling reports that support program tracking, performance monitoring, and decision-making.
Develop and maintain prospect lists, pipeline trackers, and constituent reporting tools to support fundraising growth, retention, and stewardship activities.
Provide administrative and operational support to community fundraising programs and events, including platform support, communications, and participant engagement.
Support the development of standardized trackers, workflows, templates, and reporting processes that improve efficiency, consistency, and visibility across regions.
Regional Development & Stewardship Support (Atlantic)
Provide logistical and coordination support for cultivation and stewardship events (catering, AV, venue logistics, run-of-show support as required).
Support guest list management and RSVP tracking; coordinate outreach and follow-up logistics as appropriate.
Complete CRM/data entry and tracking related to events and stewardship activity; ensure timely and accurate post-event documentation and follow-up.
Coordinate materials and supporting documentation for donor-facing engagements, freeing senior fundraisers to spend more time in relationship-building and donor meetings.
Volunteer Engagement Strategy & Execution
Lead the coordination of national volunteer engagement approaches, including standardized tracking, reporting, and streamlined support processes across teams.
Own the implementation of consistent volunteer tracking and reporting, ensuring timely data to support stewardship, planning, and performance monitoring.
Act as the central coordination point for volunteer initiatives, working cross‑functionally with Operations and Communications to plan timelines, manage deliverables, and ensure consistent execution.
Lead National Volunteer Week end‑to‑end, including development of the annual theme, volunteer recognition approach, and implementation plan, while leveraging Operations and Communications for executional support (e.g., mailings) as needed.
Reduce duplication and variation in how volunteer roles are supported nationally by maintaining clear documentation, workback plans, and standardized tools.
Cross-Functional Coordination & Continuous Improvement
Act as a connector across Development, Operations (Gift Processing/Volunteer Ops), Communications, Governance, and Executive Assistants to ensure coordinated execution.
Support centralized gift processing by managing nuanced, non-operational exceptions (e.g., customized acknowledgment letters) in partnership with Development/Stewardship, without duplicating Gift Processing responsibilities.
Identify opportunities to improve processes, documentation, and standardization; propose practical improvements that increase efficiency and reduce rework.
Maintain clear documentation of workflows, timelines, and templates to support continuity and scalability.
Who we need
Education
Minimum: Post-secondary education in a related field (e.g., business administration, communications, nonprofit management) or equivalent experience.
Preferred: Coursework or training in project coordination, data/CRM administration, or nonprofit fundraising/volunteer management.
Experience
1–3 years of relevant experience in coordination, administration, or operational support roles (nonprofit, fundraising, volunteer engagement, or similar).
Experience working with CRM systems and reporting/tracking tools is required.
Skills
Project coordination and strong organizational skills; ability to manage multiple timelines and stakeholders.
Process improvement mindset; ability to document, standardize, and streamline workflows.
Stakeholder management without formal authority; collaborative and service-oriented approach.
Strong written communication and editing skills; ability to prepare clear materials and summaries.
Data tracking and reporting discipline; strong attention to detail and accuracy in CRM/data entry.
Comfort working across teams and functions in a fast-paced environment.

This role offers a hiring range of $60,000 to $66,500 aligned with our compensation framework and your professional background.
