The opportunity 

The Coordinator, Community Programs & Engagement (CP&E) is a key team member at Heart & Stroke, responsible for supporting constituents, ensuring high-quality program operations, and maintaining accurate data and administrative practices for initiatives like the CardiacCrash™ program. This role provides expert customer service, responds to inquiries, and processes applications, all while collaborating with program specialists, managing projects, and assisting with volunteer recruitment and engagement. Candidates with a passion for nonprofit work, program coordination, data entry, and community outreach will thrive in this position, making a meaningful impact through teamwork and dedication to helping beat heart disease and stroke. 

Please note candidates can work from anywhere in Canada and must be able to travel to the Toronto office when requested with expenses reimbursed.  

How you will make an impact every day 

Constituent Support and customer service   

  • Provides remote operational support via phone, email or MS teams to all program participants as required 
  • Acts as SME on participant centric tasks and platforms to assist with troubleshooting 
  • Represents H&S through interactions with volunteers, donors and participants in a professional and courteous manner, in line with our values and behaviours 
  • Work collaboratively with the program team or specialists to identify if a constituent or school should be moved to a different category (for a greater level of stewardship and relationship management) 
  • Reactively facilitates participant and donor acknowledgements (emails, letters, phone calls etc) 
  • Constituent outreach to drive registrations for the CardiacCrash™ program and others as required 

Program Operations   

  • Processes all applications for CardiacCrash™ and other CP&E programs as required 
  • Manages the creation and updating of CRM stewardship plans and constituent data 
  • Manages and updates tracking tools to assist in identifying trending issues and volume of inquiries 
  • Other tasks and projects to support the team as required 

Data Management 

  • Responsible for ensuring accurate and timely data entry in Blackbaud CRM databases as outlined by Data Standards 
  • Creates and maintains participant records and updates interactions in CRM 
  • Pulls reports to monitor accuracy of data entry 
  • Maintains an up-to-date working knowledge of all databases, program platforms and digital tools (OneCRM, power BI, CrowdChange, Jira, Docebo) 
  • Trains and delegates data management tasks to volunteers as needed 

Who we need 

Education 

  • Post-secondary diploma or related experience   

Experience 

  • 1-2 years administrative experience 
  • 2-3 years’ experience customer service and support. 
  • Experience in not-for-profit an asset 
  • Experience with data entry into CRM an asset 
  • Experience with participant management and fundraising program operations 
  • Experience managing volunteers an asset 

Skills  

  • Highly organized with strong attention to detail 
  • High level of ownership, and accountability to goals, teamwork and following best practices 
  • Proactive, self-motivated and resourceful 
  • Ability to trouble-shoot and problem-solve  
  • Strong technical and data entry experience,  
  • Experience working with a CRM database and online fundraising platforms would be an asset 
  • Excellent customer service and communication skills  
  • Flexible and adaptable; able to work in a fast paced, ever-changing environment; able to effectively manage a large number of accounts and prioritize responsibilities 
  • Proficient in Microsoft Office applications such as –Word, Microsoft Outlook, Power Point.  Advanced Excel skills 
  • Experience in Power BI is an asset  
  • Experience with tech solutions such as Salesforce & Docebo, project management software (Wrike) and design software such as Adobe Creative Suite an asset 
  • Confidence with using virtual technology (Zoom, Microsoft Teams) as a means of engagement, collaboration, and implementation of projects 
  • Ability to speak and write in French is an asset

This role offers a hiring range of $45,000 to $58,000, aligned with our compensation framework and your professional background. We believe that time off is integral to the personal health and wellness of our employees.
