The opportunity
This is a 12-month contract role. Heart & Stroke offers hybrid working options; for this role, candidates must be able to travel to the Toronto office for work when requested.
As Media Coordinator, you’ll be responsible for supporting and executing public awareness campaigns — ensuring every asset is flawlessly coordinated, delivered on time, and meets exacting media specifications.
This role plays a critical part in supporting the FAST Signs of Stroke national awareness campaign, as well as other integrated, multi‑channel marketing initiatives as required. You’ll collaborate closely with marketing, creative, and media-buying teams to traffic assets across paid and in‑kind media, keeping campaigns moving smoothly and deadlines firmly on track.

How you will make an impact every day
Campaign asset coordination and trafficking
Identify creative work required and develop workback schedules to support media plans
Receive and process requests for the adaptation of media assets
Coordinate approvals for media assets prior to activation
Execute media plans and facilitate asset delivery according to media specifications
Track asset delivery, confirmation and deployment
Support the management of talent cycles and Think TV (Telecaster) renewals with marketing lead
Internal collaboration
Collaborate with the Senior manager, Brand and Linguistic Services to keep all activations on track and updated
Keep internal teams informed regarding campaign updates and activations; additional requests, delays, weekly reports, etc.
Liaise with external partners and media outlets
Work closely with marketing, creative, and media agency teams to manage and meet all deadlines
Support the Senior manager, Brand and Linguistic Services on earned media strategy
Update and distribute assets toolkit
Documentation, reporting and administration
Create and maintain a national calendar of campaigns and activities
Keep detailed records including media commitments, asset delivery and follow up
Provide weekly campaign status updates
Collect reporting data from media and in-kind partners to support reporting
Verify campaign invoices against plans/contracts
Campaign budget support and validation
Identify costs for asset alterations and forward for approval
Confirm fees and expenses associated with freelance designer(s) and other vendors
Who we need
Experience
Two-to-four years of hands-on experience in media or advertising
Experience executing marketing campaigns
Experience with media performance tracking and campaign reporting
Familiar with project management areas, media (planning, buying and trafficking process), creative design/post-production process/terminology/file formats
Familiarity with paid and in-kind media dynamics
Education
Post-secondary education in marketing, communications, advertising or media
Project management certificate an asset
Skills
Highly organized with strong attention to detail
Good communicator, with internal teams and external partners
Strong stakeholder/relationship management skills
Digital savvy, ideally with experience using asset management systems or trafficking tools
Problem solver — ability to be agile and find workarounds when changes to plans are required
Able to manage time effectively and meet deadlines
Bilingualism in French and English an asset

This role offers a hiring range of $50,000 to $65,000, aligned with our compensation framework and your professional background.
